Key Responsibilities

1. Vendor Development & Management

Identify, onboard, and develop new vendors (fleet owners, transporters, and driver partners) across regions.
Conduct vendor scouting to expand the company’s vehicle supply base.
Build and maintain strong relationships with existing vendors to ensure consistent performance and availability.
Negotiate rates, service levels, and contractual terms with vendors to ensure cost efficiency and reliability.
Monitor vendor performance against KPIs such as vehicle placement, turnaround time, and service quality.
Address vendor issues promptly and implement corrective actions to maintain service standards.
Participate in RFQs and reverse auctions for transportation.

2. Booking, Payments & Profitability Management

Verify new daily bookings against driver journals and customer freight rate agreements.
Ensure timely advance payment processing for all confirmed bookings.
Review and approve driver payment amounts; verify vendor bank account changes or modifications.
Evaluate and approve profit margins as per company guidelines and ensure profitability tracking.

3. Operations & Execution

Ensure timely and adequate vehicle availability across all lanes and customer requirements.
Coordinate with internal operations, sales, and finance teams to match demand and supply efficiently.
Manage bookings received from branches and mobile app platforms.
Collect customer and vehicle details, onboard them in the admin portal, and assign drivers for dispatch.
Initiate fund transfers for trip commencement and ensure operational readiness.
Track and monitor ongoing trips, e-waybill validity, and transit progress.
Provide real-time updates to branches and customers.
Follow up on “On Delivery” bookings to ensure prompt delivery and authorization.
Drive operational excellence through improved turnaround time and vehicle utilization.

4. Expansion & Location Development

Identify and develop new operational locations to expand the company’s logistics network.
Conduct feasibility studies for new hubs and vendor clusters.
Liaise with local transport associations and potential partners for regional market development.

5. Trip Closure & Reporting

Ensure timely trip closure and proper authorization in the system.
Prepare and circulate daily reports on pending and completed trips.
Maintain and update Daily Active Trips Report (EOD) and Corporate Customer DSR (Daily Status Report).
Prepare periodic MIS reports on vendor performance, cost optimization, and operational KPIs.

6. Issue Resolution & Coordination

Follow up and resolve escalations and disputes efficiently.
Coordinate with Branches, Agencies, IT, POD, Commercial, and Marketing Teams for seamless operations.
Address customer complaints promptly and escalate critical issues as required.
Ensure customer satisfaction through proactive communication and problem-solving.

7. Team Leadership & Compliance

Build, train, and lead a team of vendor coordinators and field executives.
Set clear goals, monitor performance, and ensure accountability within the team.
Maintain accurate vendor databases, rate master files, and route performance records.
Ensure compliance with company policies, documentation standards, safety norms, and audit requirements.
Foster collaboration across departments for smooth operational flow and continuous improvement.

Skills & Requirements

Strong understanding of truck aggregation, vendor ecosystems, and logistics operations.
Experience in vendor development, rate negotiation, and market expansion.
Sound knowledge of vehicle types (FTL, LCV, HCV, trailers, tankers, etc.) and cargo compatibility.
Proven ability to independently handle vendor operations and team leadership.
Deep understanding of transport operations, vendor payments, trip management, and e-waybill compliance.
